Who we are
This website is run by Easy Accommodation Ltd, trading as Next Step Rooms. Easy Accommodation Ltd is registered in England and Wales, company number 12689492, registered office 18 Nicholson Road, Dunton Green, Sevenoaks, Kent TN14 5GX. We are the data controller for the details you send us. You can contact us at info@propertycashflow.co.uk.
What we collect
When you register we collect your name, mobile number, email address if you give it, the towns, cities or postcodes where you want to live, when you want to move, how you expect to pay your housing costs, where you live now, the type of place you are looking for, how you want us to contact you, whether you asked for room alerts and how to send them, and anything you write in the message box. We also record the date you registered and the website or advert that sent you to us.
If you choose to, you can also tell us which of a short list of benefits you or your partner get, such as PIP, DLA, ESA or Carer's Allowance. This question is optional.
We do not ask for medical details, criminal records or any other sensitive details on this website.
The benefits question
Some benefits, such as PIP, DLA, ESA with the support component, LCWRA and Attendance Allowance, can show that you have a health condition or disability. Under UK GDPR that is special category data. We only keep it if you tick the extra box agreeing to it (Article 9(2)(a), explicit consent), and we only use it to check which of our homes you can get, because our homes are for people on Universal Credit who also get one of these benefits.
You do not have to answer. If you would rather not, leave it blank and we will ask you on the phone. You can withdraw your consent at any time by emailing info@propertycashflow.co.uk, and we will delete your answer.
Why we use it
We use your details to contact you about a room, to work out with you whether one of our rooms is right for you, and, if you ticked the box, to send you room alerts when a matching room comes up. Our lawful basis is that you asked us to take these steps before a possible tenancy (UK GDPR Article 6(1)(b)). Room alerts are sent only because you asked for them (Article 6(1)(a), consent), and every alert has a link to stop them. We do not use your details for any other marketing and we never sell them.
Who we share it with
If you decide to go ahead, we help you complete a housing application with our housing partner, who checks that your housing costs can be covered. We only share your details with them after we have spoken to you and you have agreed. That application asks for more information, and the partner will give you its own privacy notice at that point.
Our website and records are hosted on our own servers in the UK and Europe, with encrypted backups. Our IT suppliers can only process the data on our instructions.
Rooms listed by other landlords
Some rooms on this site are listed by independent landlords, and each of those pages says so. If you use the "Contact the landlord" form on one of them, we send your name, phone number, email and message to that landlord so they can contact you about the room (UK GDPR Article 6(1)(b)). The landlord then holds your details as a separate controller and must use them only to talk to you about that room. We keep a copy for 6 months so we can look into complaints. We never send landlords anything from the registration form above, including the benefits question.
Landlords who open an account give us their name, contact details, photo ID and property certificates. We use these to check the landlord and the property before a room goes live (Article 6(1)(f), keeping tenants safe), and delete them when the landlord closes their account, apart from a short record of account activity kept for 6 years.
How long we keep it
If you do not become a tenant, we delete your details 6 months after you registered, or 12 months after if you signed up for room alerts, or sooner if you ask. If you stop room alerts, we delete your details within 30 days unless we are still talking to you about a room. If you become a tenant, your details move to your tenancy file and are kept for as long as the law requires.
Your rights
You can ask us for a copy of your details, ask us to correct or delete them, or object to how we use them. Email info@propertycashflow.co.uk and we will reply within one month.
If you are unhappy with how we have used your details, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
